o Invite industry leaders (C-suite) speakers to present, address keynotes, be part of ground-breaking dialogues
o Coordinate with speakers, awards submission and nominations, and other administrative matters for Informa maritime Awards events
o Build longer term relationships with speakers/sponsors and delegates through industry networking and relationship building
o Manage speakers/sponsors speakers’ expectations and explain the session formats, technology platform, and needed administrative matters in consultation with Conference Director
o Meet speaker confirmation timeframes and deadlines
o Coordinate, schedule and be part of preparatory content calls/meetings with the speakers
o Organise and regularly update conference agendas, manage speaker database, and able to source new speaker contacts
o Update programme changes and speakers’ photos on event website
o Communicate speaker administrative matters such as logistics for both in-person, fully digital or hybrid events
o Prepare event cue sheets in the lead up to the event days
o Ensure the delivery of managing, administering, and running digital / hybrid events on the event day
o Stay abreast of all biosafety regulations and ensuring onsite compliance
o Carry out other tasks assigned by Conference Director, working as part of a project management team, including marketing, sales, operations
o University degree, preferably in communication, journalism, public relations, marketing, business, or related field.
o Having 2-year experience in a similar position
o Being a self-starter, having excellent attention to detail, organisation and coordination skills
o Being a strong collaborator and enjoying working with inter-departments across the company
o Being able to prioritise and handling a variety of events simultaneously
o Being able to work under pressure and tight deadlines
o Being a team player, positive attitude, strong verbal and written communication skills and excellent interpersonal skills
o Having experience with a variety of virtual event and presentation tools such as Google Slides, MS Office, PowerPoint, Keynote, Zoom webinars, SwapCard, etc. is an advantage.
